How to register visitors in less than 30 seconds

Visitor registration is essential for businesses. It provides an overview of who, when and how many people are on your premises. Managing and monitoring external visitors is mandatory for security reasons. In addition, a kiosk can significantly ease the receptionist's duties.

With Joan Visitor Management, we can register visitors in less than 30 seconds, in fact, we can do it in 3 ways:

1. At the kiosk

If the visitor was not pre-registered, they can easily register themselves by entering their name & contact information and indicating who they have an appointment with. If required by the company, they may also be asked to digitally sign an NDA or safety instructions. Once this is done, the host or hostess is notified via email & SMS.

2. Via Outlook

A visitor can be notified in advance by adding the email address invite@getjoan.com in the Outlook invitation. Everyone with an email address that is not linked to the company will then receive an invitation with more details about the meeting and possible directions or parking instructions. The visitor can register in advance or scan the QR code in this e-mail at the kiosk.

3. In the Joan Web portal

In the Joan web portal, Office Managers or employees can register a visitor when he is already at the reception desk or in advance. In the former case, the host will be notified again that his visitor has arrived. In the 2nd case, the visitor will receive an e-mail with instructions. Optionally, a name badge can be printed or additional information such as which access badge the visitor brought with him.
